False Belief #1. Pouring EHR Reports Is Managing Your Practice By The Numbers
This is not true at all. Practice reports can only tell you so much. They don’t show you how your data changes over time or how well you’re converting leads into patients.
A better way is to organize your data using spreadsheets. But that’s not enough either. Spreadsheets are hidden away, and your team doesn’t see them. They don’t know your goals or how close you are to reaching them.
We recently worked with a practice that had a big problem. The practice owner thought they were running the practice by the numbers. But they were wrong.
For 15 years, they’ve been printing reports and storing them in file boxes. They had a closet full of file boxes that, guess what? Nobody ever looked at. Nobody knew how to compare and improve their data trends.
But the data-driven doc is different. They show their data in beautiful dashboards for their teams. They help their team set goals and track their progress. They reward their team for reaching their targets. They use colors to motivate their team and help them master their skills.
When this doctor finally switched from spreadsheets and closets to dashboards, their collections literally doubled. That’s how data can change the way you run your practice.
But you can’t just sit on your data. You have to turn it into dashboards that everyone can see and use. That’s how you unleash the full potential of data in your practice with your team.
False Belief #2. Utilizing The Law Of Cause And Effect
This doctor also realized that bringing data into a dashboard and engaging their team could create a feedback loop where the team members could see action and reaction. They could immediately see how their actions impacted the data.
As the data progressed and improved, it created a positive feedback loop for his team members, which meant that they wanted more of that. It created a little dopamine release in the brain of positive reinforcement.
It's that positive reinforcement that drives and changes the behavior of more of what you want as a practice owner. Spreadsheets locked up in closets don't do that. Spreadsheets up in the cloud don't do that. EHR reports don't do that.
We must have an engagement tool that drives your team's behavior, and that's what a beautiful dashboard does.
False Belief #3. Tracking Data Is Way Too Time Consuming
So, let's break down this false belief. There's just too much data out there to gather and bring into one place, and you don't want to burden your team with one more thing. You already feel like they're spread thin. You're already behind on much of the work that must be done daily.
I get that. But tracking data is the one thing that's going to change everything! Here’s a simple automated way to track your data called “The Driven Framework.” The Driven Framework stands for:
‘D’ stands for data, which is the key to success. You need to automate your data and bring it all together in one place. That’s how you create a dashboard that shows you everything you need to know: your marketing, financial, and practice management data, all in one place. You can mix and match your data to see what works. And you can share your data with your team to get them involved.
‘R’ means results and responsible, meaning who’s responsible for the results? We give each team member a specific metric that they own and care about. That’s how they shape the patient experience. We make sure the team knows who does what and how well they do it.
‘I’ stands for igniting results. We want to help our team grow and improve. We want to teach them the skills they need to achieve their goals. We want to track their progress and celebrate their success.
‘V’ stands for the value of the patient experience. What is the value of a new patient? Do you know the average case value for a patient, and have you identified the dream patients you're trying to attract into the practice? Every team member needs to be very clear about that. We need to attract valuable patients into your practice. It's the 80/20 rule – 20% of your patients are generating 80% of your income. So, get more of those 20% of patients flooding into the practice.
‘E’ stands for effective. These are effective team meetings where we actually show up to deliver the results of our work. This shows up in the data that we track on the beautiful dashboards within the data-driven practice.
‘N’ stands for never be blind to your data again. You’ll have a dashboard that your team can see and use. You’ll show it in your team meetings and discuss it regularly. I know a doctor who did this and saw amazing results. They focused on their prime mover - the one number that mattered most. They worked hard to improve it.
